Data Controller
The data controller for personal data processing is RayMax Fleet, located at Abidjan, Côte d'Ivoire.
For data you input into your client workspace (fleet managers, vehicles, drivers, owners, disbursements), you act as the data controller and RayMaxFleet acts as a data processor acting exclusively on your documented instructions.
Data Collected
When using RayMax Fleet, we only collect data strictly necessary to operate and optimize your transport and fleet management operations:
- Account & Profile Data: Name, email, phone number, company, access role.
- Drivers & Owners Data: Identity, contact info, ID documents, licenses, vehicle assignments.
- Fleet Data: Registration, maintenance history, breakdowns, fuel allowances, mileage.
- Financial Data: Disbursements, daily revenues, fixed/variable costs, Mobile Money logs, invoices.
- Geolocation Data: Real-time vehicle GPS positions (when telematics modules are active).
Purposes & Legal Basis
Your personal and telematics data are processed based on the following legal bases:
Contract Performance
Fleet tracking, revenue calculations, driver management, financial statements.
Legitimate Interest
Vehicle security, fuel anomaly detection, fraud prevention, continuous improvements.
Legal Obligations
Retention of accounting documents, tax compliance (Transport Code, ARTCI).
Consent
Product news, feature updates, and targeted communications.
Data Sharing
RayMaxFleet never sells or rents your personal or operational data to third parties.

- Technical Subcontractors: Secure cloud hosting, SMS/WhatsApp alerts, Mobile Money payment aggregators.
- Maintenance Partners: Partner garages and fuel stations (strictly repair order data).
- Legal Authorities: When required by law or official judicial requisition in Côte d'Ivoire.
